Article Summary

16.2 Dictation, SayIt, SayIt Administrator, nVoq.Administrator, and nVoq APIs Release; 16.2.01 nVoq.Voice Release

September 2021

nVoq Domain URLs

Improved 404 Display for nVoq Domain - When a web browser is able to communicate with a server, but the server can not find what was requested (e.g. the wrong URL was entered, like test.nvoq.com/api for example), a 404 error message is displayed. The 404 message that is now displayed for nVoq domain URLs (ending in .nvoq.com) has been improved to be more user friendly and also provide links to information you might be looking for, like the nVoq API documentation or the nVoq Support site. (B-16134, 6/22/2021)*

nVoq Dictation

The updates in this section impact all dictation clients, including SayIt, nVoq.Voice, and nVoq.Mobile Voice as well as ISV partner clients using nVoq dictation.
  • Fix for Dictations on General Medicine 8kHz With Long Silence Not Fully Transcribed - When using the 8kHz General Medicine topic, a dictation that includes a long silence is not fully transcribed. This was due to the acoustic adaptation on the 8kHz topic being affected by the long silence and causing dictation that resumes after the silence to not be transcribed. This has been fixed. If a long segment of silence is found in a dictation on the on General Medicine 8kHz topic, acoustic adaptation will be reset after the segment of silence so that the entire dictation can be transcribed. (D-12606, 7/1/2021)*
  • New Profile Service - Because the new "ReDS” dictation servers only process dictations and do not handle profile building jobs, a new service has been created which will only build user profiles when accounts are created or rebuild them when needed, such as when vocabulary or sentence models are added or removed from the account or the account’s organization(s). This new service includes better error checking to identify issues earlier. Because this is a separate service from dictation processing, profile jobs no longer have to wait in line behind higher priority dictation jobs since they now have their own servers. (B-16110, 7/8/2021)*
  • Acoustic Adaptation Not Saved for 8kHz General Medicine Topic on ReDS - Because of a mismatch in 8kHz adaptation data, acoustic adaptation is not saved for the 8kHz General Medicine dictation topic on the old dictation server (the EDS), and the same is now true for the 8kHZ General Medicine topic on the new dictation server (ReDS).   (D-12656, 7/28/2021)
  • ReDS Stable Text Not Always Returning - An issue was reported to us in which stable text would sometimes not return. This was caused by an intermittent error handling chunks of stable text that has now been fixed. (D-12687, D-12671, 8/23/2021)
  • Faster Processing of Dictations with Long Pauses on ReDS - Processing audio that contains long pauses has been made more efficient. The speed improvement should be noticeable to users. (B-16006, 8/31/2021)
  • ReDS Dictation Server Handles HTTP Dictations - By design the new "ReDS" dictation servers only process WebSocket dictations. A gateway has now been created to allow these servers to process HTTP dictations too. (B-16026, 9/1/2021)
  • Newly Added Substitutions Immediatly Available for Dication on ReDS - Previously, substitutions could take up to 15 minutes to appear in a dictation on the ReDS after being added in the system. In 16.2 the ReDS will check for newly added substitutions and download new ones if available, allowing them to be used in dictation almost immediatly. Moreover our team confirmed that vocabulary and sentence models are also available as soon as the profile job to add new ones is completed, so they do not take up to 15 minutes to appear in dictation either. (B-16171, 9/1/2021)
  • No Transcript Returned Even Though Audio is Available - Issues were submitted to us which involved both real-time and batch dictations submitted to the dictation server that return empty transcripts even though the audio was available in Review & Correct. This issue has been fixed in 16.2. (D-12665, D-12755, 9/3/2021)

SayIt and AgentAssist

  • Account Notification / Training PDF Gone in 16.2 -  Account Notification and the Training PDF features will no longer appear in SayIt after deployment of 16.2 on the system due to SayIt Administrator being retired.  (B-16076, 5/20/2021)*

nVoq.Voice 16.2.01

  • Fix for Occasional Inability to Run Shortcuts in nVoq.Voice from nVoq.Wireless Microphones - Occasionally users were unable to run shortcuts from either the Android or the iOS nVoq.Wireless Microphone when linked to nVoq.Voice. If you tapped on a shortcut on the Wireless Mic, nothing would happen. Shortcuts would start working again automatically after multiple failed attempts. This issue has been fixed in the event processing web service for 16.2, so requires the 16.2 platform upgrade on your system. (D-12617, 6/14/2021)*
  • Access Online Documentation from nVoq.Voice - To make it easier to access information about using nVoq.Voice, a link to the online documentation has been added to the system tray menu. (B-16038, 6/17/2021)*
  • Fix for Shortcut List Taking a Long Time to Populate - If a user has a large number of shortcuts, but not all of them are Inserts, the shortcut list in Voice could take a very long time to load due to the web service having to download ALL shortcut types and then filter out and display only the Insert text shortcuts. In the 16.2.1 version of nVoq.Voice, the shortcut list populates much faster in this situation because it is now only downloading the type of shortcuts that Voice can run. (D-12585, 7/1/2021)*
  • Error Message for Disabled Azure Account Added - In previous releases, if you attempted to log in to nVoq.Voice with a disabled Microsoft Azure account, you would be taken back to the sign in screen, but no error message would be presented to let you know what was the problem. In the 16.2.1 version of Voice if you attempt to log in with a disabled Azure account you will see an error message that states, "User unknown account disabled". (D-12613, 8/5/2021)
  • Decreased Dictation Accuracy through Citrix - Some improvements were made to nVoq.Voice which should improve the accuracy of dictation when running it through Citrix. Decreased accuracy through Citrix is caused by poor audio quality, and there is still a chance that audio quality will be poor if multiple users are on the same Citrix server, competing for resources. (D-12657, 8/24/2021)*
  • Troubleshoot Mode Incorrectly On by Default - In the previous release Voice was incorrectly configured to have Troubleshoot Mode enabled by default, and the logging level set at "debug" by default also. The correct default setting for Troubleshoot Mode is off/disabled and the default logging level should be "warn". The 16.2.1 version of Voice will have these properties back to their correct default settings. (D-12740, 8/26/2021)*
  • Substitutions Not Applied When Using nVoq.Wireless Microphone with nVoq.Voice - When using either the Android or iOS nVoq.Wireless Microphone as the recording device with nVoq.Voice, substitutions are not applied to the transcript. Instead, the "original" dictation as it is transcribed is pasted into target applications. This has been fixed in the 16.2.1 version of nVoq.Voice. (D-12749, 9/2/2021)*

SayIt Administrator

  • SayIt Administrator Retired - SayIt Administrator is retired in this release and no longer available after deployment of 16.2 on the system. Along with SayIt Administrator goes the Account Notification and the Training PDF features, which are not available in nVoq.Administrator. These features will no longer appear in SayIt after deployment of 16.2 on the system. Users attempting access the URL for SayIt Administrator will be automatically redirected to nVoq.Administrator. (B-16076, 5/20/2021)*

nVoq.Administrator

New Features & Improvements in nVoq.Administrator

  • Total Row Added to Reports - A footer row named "Total" has been added to the bottom of many reports which in most cases adds up the totals in the columns on the report, the exception being the Seconds of Audio per Dictation and the Dictation Words per Minute columns on the Dictation Usage reports on which the Total row presents an average. The new row has the same functionality as the "Overall" row at the bottom of reports in SayIt Administrator. The "Total" row has been added to the following reports: Active Account Detail, Active Account Summary, Dictation Usage Custom Group, Dictation Usage Organization Detail, Dictation Usage Organization Summary, Account Monitor Shortcuts, Shortcut Usage Custom Group, Shortcut Usage Organization Detail, Shortcut Usage Organization Summary, Subscription Management Detail, and Total Usage Summary. The reports in nVoq.Administrator that have this row added are the same ones that have the "Overall" row in SayIt Administrator. One difference is that the calculation of "Average original transcript accuracy" is missing from the Total row on the Dictation Usage reports. You can find the Average Original Transcript Accuracy for a specific organization on the Dictation Usage Organization Summary (though not the Total for all organizations). (B-16135, 5/17/2021, D-12658, 8/13/2021)**
  • Row Selected Automatically When Making Changes on Actions Menu - On all pages in nVoq.Administrator with a checkbox and a list view, when you try to do anything on the actions menu, the row of the item is automatically selected and the checkbox is checked. This makes it easy to see on the Organizations and Account pages, for example, which organization or account is being deleted when you delete from the list view. If sending username or password recovery emails from the Accounts page list view you will now have to manually deselect the row after the email is sent; it does not deselect itself once the action is completed. This is also the case on the Sentence Models page when you download a sentence model by using the actions menu in the list view: the row is automatically selected and must be manually deselected after the document has downloaded. (No V1 Item, 5/24/2021)*
  • Improvements in Corrected Text Navigation - When working in the Detail Review & Correct view of the Review & Correct page, if you were viewing the Original Transcript Difference tab on a corrected dictation item and then used the Next or Previous button to navigate to a different item, the tab would sometimes switch away from that tab, particularly if the next or previous item in the list had not been corrected or was not a dictation (and therefore had no Original Transcript Difference tab, which only appeared for corrected dictation items). The Detail Review & Correct view of the Review & Correct page has been updated so that now the Original Transcript Difference tab and the Substituted Transcript Difference tab both are now always visible, even if the item is not corrected or not even a dictation. These tabs now appear next to the Corrected text tab for all types of transactions, even shortcuts. This change allows you to continue viewing the Original Transcript Difference tab as you navigate through items using the Next or Previous button. (B-16203, 6/22/2021)*
  • Setup Fee Toggle Removed - The Setup Fee toggle has been removed from the Add/Edit Organization page at the group level in nVoq.Administrator. This setting, which had to be configured by a system-level administrator and was grayed out for all other users, was originally used for billing customers who contracted nVoq to manage accounts. It is no longer in use and has been removed in 16.2. (B-16067, 7/12/2021)*
  • Token-Based Two-Factor Authentication - In the 16.1 release the ability to log in to nVoq.Administrator using basic two-factor authentication was added. In 16.2 this process is now token based, which is much more secure. Tokens are refreshed every 25 minutes so that the Duo session does not timeout before the nVoq.Administrator account session timeout. There is no change to the login process for users. (B-16168, 7/12/2021; B-16222, 9/2/2021)*
  • SayIt Log Files Name Change - The log files that are sent to the nVoq.Administrator Logging page from the SayIt client now have a slightly different naming convention due to some backend refactor work on client logging. The old naming convention included "sayit" in the file name ([email protected]:1582046271215:sayit_logs.zip) and going forward log files from SayIt do not ([email protected]:1611862385582:logs.zip). Log files from SayIt now use the same naming convention as those uploaded from nVoq.Voice. Note that filenames for SayIt logs collected prior to the 16.2 deployment of nVoq.f30 Administrator will still end with sayit_logs.zip, and filenames for logs collected prior to the 16.1 deployment of nVoq.Administrator end with sayit_logs.zip whether they are SayIt or nVoq.Voice. (B-16167, 7/21/2021)*
  • SYSTEM LEVEL Two-Factor Authentication for nVoq.Administrator -  A new toggle on the Add or Edit System Accounts page labeled "Require Administrator two-factor authorization" enables two-factor authentication for logging in to nVoq.Administrator with a System Administrator account. The setting is grayed out and not yet available for Customer Administrator system level accounts. As with tenant level (and below) administrator accounts, this process is also token based for extra security. Tokens are refreshed every 25 minutes so that the Duo session does not timeout before nVoq.Administrator account session timeout. There is no change to the login process for users. (B-16168, 7/12/2021; B-16222, 9/2/2021)*
  • Look for Word Highlighting - The Look for Word feature on the Review & Correct page, which allows you to search dictation transcripts for a specific word or phrase, has been improved. To make it easier to spot when reviewing results, the word or phrase for which you searched will now be highlighted in the dictation transcript on the Detail Review & Correct page. (B-16242, 8/10/2021)
  • Speed Improvements Across Reports & Dictation Transaction Queries - Improvements have been made to increase the speed of reports and queries that involve dictation transactions. (B-16234, 8/23/2021)*

Bug Fixes in nVoq.Administrator

  • No Automatic Return to List View After Copying Vocabulary - After copying vocabulary from an account or organization to another account or organization, the page does not automatically return to the Vocabulary page list view and instead stays on the Copy Vocabulary page. As a work-around you can click the Cancel button at the bottom of the Copy Vocabulary page once the copy operation is completed to go back to the list view. This has been fixed. (D-12526, 5/6/2021)*
  • Date Formatting Inconsistency on Accounts Pages - On the Add Account, Edit Account, and Upload Accounts pages the Enabled Through date and the Trail Expires"date were not formatted the same: the Enabled Through date numbers were separated by slashes (5/31/2021) while the Trial Expires date numbers were separated by dashes (5-31-2021). The Trial Expires date has now been updated to match the Enabled Through date and is formatted with slashes. (D-12533, 5/10/2021)*
  • Missing Group Organization for Limited Number of Divisions - For an extremely limited number of divisions on the Secure system there is an issue in which group organizations do not display in the organization menu at the top of nVoq.Administrator pages. If you try to edit an account with Client Access in one of the affected divisions, the Edit Account page displays all blank fields and opening the page locks up nVoq.Administrator completely so that you have to close the tab and relaunch nVoq.Administrator to access other information in the tenant. You also cannot add new accounts with Client Access under the affected divisions because the group names are missing from the Client Group menu on the Add Account page. The problem, caused by the parent organization ID being greater than the child organization ID, affected a very limited number of older tenants (dating back to 2009-2011) and has been fixed in 16.2. As a work-around, use SayIt Administrator when working with accounts in affected divisions. (D-12536, 5/11/2021)*
  • Search Field Not Removing Space Characters, Not Finding Items - The Search field on pages in nVoq.Administrator does not automatically remove spaces at the beginning or end of search queries and therefore does not return expected results. For example, if you are on the Account pages searching for "[email protected] " (with a space at the end) you will not find the account even if it exists in the list view. If you are on the Review & Correct page searching for " D4660937" (with a space at the beginning), no results are found even if the transaction exists in the list view. This has been fixed. The Search field on all pages now automatically removes leading and trailing spaces from search queries. (D-12550, 5/20/2021)*
  • Custom Groups Take Too Long to Retrieve - It can take several seconds to load a list of custom groups on either the Custom Groups page or on a report that allows you to select one, like the Dictation Usage Custom Group report. This has been fixed. The Custom Groups page list view and Custom Groups menus on reports now populate in less than as second, as they did in SayIt Administrator. (D-12545, 5/20/2021)*
  • Sort Order Not Persisted - The sort order on the API Key and Custom Groups pages is not saved after navigating to a different page or logging out and back into the application. This has been fixed. (D-12572 5/21/2021)*
  • SYSTEM LEVEL Inability to Scroll Tenant List on Add System Account Page - The scroll bar on the list of tenants on the Add System Accounts page does not work in the Firefox browser. The work-around is to use the up/down arrow keys to move through the list, or to use the Chrome browser instead. This issue has been fixed in 16.2. (D-12569,  6/9/2021)
  • Administrator Password Policy Not Enforced If Account Is Initially Client-Only - If a user account is initially created with only Client Access and no Administrator Role, and then an Administrator Role is added later, the user should be required to change their password the next time they log in to nVoq.Administrator if it does not conform with administrator password settings. However, this is not happening. This has been fixed. In 16.2, the next time the user (who now has an Administrator Role) logs in to nVoq.Administrator with a "weak" password, that user will be required to change the password so that it is at least "medium" strength to conform to the password security settings for accounts with an Administrator Role. (D-12525, 6/10/2021)*
  • Significant Delays Opening Dictation Transactions on Review & Correct - In previous releases, tenants with extensive organization trees could experience delays in opening dictation transactions on the Review & Correct page. This has been improved in 16.2. Both dictation and voice shortcut transactions should load much faster on the Review & Correct page, especially for tenants with large organizations structures. (D-12610, 6/17/2021)*
  • Incorrect Text on Sentence Models Download Confirmation Message - On the Sentence Models page if you select one or more sentence models in the list view and then click the download icon, the Download confirmation message is supposed to ask if you want to download "All sentence models" or "Selected sentence models" but instead it says "All base data" or "Selected base data". This has been fixed in 16.2. The correct confirmation is once again displayed. (D-12608, 6/17/2021)*
  • Confusing Behavior for Change Enabled on Edit Shortcut Page - On the Edit Shortcut page Options tab there is an Enabled toggle that would automatically save and present a green success message immediately after the toggle was switched to enable or disable the shortcut instead of requiring the Save button to be clicked. This was different from every other toggle or setting on the Edit Shortcut page, which does require the Save button to be clicked in order to save changes. This has been improved so that it is now consistent with the other settings on this page. Now if you use the Enabled toggle on the Options tab of the Edit Shortcut page, you no longer get a green success message immediately after flipping the toggle and instead you must use the Save button to save the enabled/disabled status.  (D-12570, 6/22/2021)*
  • Average Original Transcript Accuracy Above 100% - Customers reported to us that they were sometimes seeing accuracy percentages higher than 100% in the Average Original Transcript Accuracy column on the Dictation Usage Organization Detail report. This was ocurring in dictation transactions that had been corrected, but the corrected status was later removed using the Clear Corrected button on the Detail Review & Correct page. Changes were made to better handle this scenario going forward. (D-12599, 6/29/2021)*
  • Multiple Organization Level Vocabulary Delete Not Working - In the previous release the functionality for deleting vocabulary terms for multiple organization levels simultaneously does not work. When viewing the vocabulary list for multiple organization levels, if you select multiple vocabulary terms that were created at different levels and then click the delete icon in the blue toolbar, none of the terms are deleted. This has been fixed in 16.2. (D-12628, 7/6/2021)*
  • Review & Correct Column Preferences Not Persisted After Sign Out - On the Review & Correct page you can use the Display Columns menu to add or remove columns from the list view. In the 16.1 release of nVoq.Administrator, these column selections were not saved after sign out unless you navigated to another page first before signing out. This has been fixed.  Now selected columns are saved when the Display Column menu is closed, and they persist after sign out even if you don't navigate to another page first. (D-12587, 8/5/2021)*
  • Large Organization Tree Taking Too Long to Open - Customers with a very large organization tree (hundreds of companies, divisions, and groups) could experience long delays when trying to open the organization menu. If an administrator did not wait for all organizations to be listed in the menu, nVoq.Administrator could get into a bad state when trying to access Review & Correct or Reports data, and the system appeared to be stuck. This has been fixed. customers with very large organization trees should notice a much shorter time opening the complete organization menu. (D-12698, 8/16/2021)*
  • Shortcut Transactions Taking Too Long to Retrieve - Enhancements were made to help improve the speed of downloading transactions on the Review & Correct page when filtering by shortcuts.  (D-12659, 8/23/2021)*
  • Corrected Text Not Saved If Copied from Substitution Tab - Corrected text would not be saved on the Detail Review & Correct page if the Copy Text to Corrected button was clicked when the Substitution tab was in view rather than the Original tab, even though a success notification message was presented. As a best practice you should only correct text from the Original tab especially if substitutions occur in the dictation, however this has been fixed. Now if you do copy text from the Substitution tab, the correction will be saved when the Save button is clicked.  (D-12716, 8/23/2021)
  • SayIt Inactivity Timeout Setting Changes to 1 Minute If Default Not Changed -  If the Client Inactivity Timeout setting (on the Add/Edit Organization page for a division level organization) is enabled, the timeout parameter is set to 15 minutes by default. However, if this parameter is not changed from the default setting before saving the organization, the parameter automatically changes to 1 minute when the organization is saved. As a result, the SayIt client times out after 1 minute of inactivity. This has been fixed. The default value (15 Minutes) is now persisted even if the field is not edited before the organization is saved. (D-12714, 8/24/2021)*
  • Substitutions Appearing as All Duplicates - In some cases the list view of substitutions would display one organization substitution duplicated multiple times on the Substitutions page in place of other unique susbtitutions that existed for the organization that did not appear on the list. This issue affected the display on the Substitutions page only; all substitutions continued to work in dictation. This display issue was caused by the affected substitutions missing a UUID. In 16.2 there will be a migration script which will fix null UUIDs for existing substitutions. (D-12754, 9/7/2021)*
