  1. Go to the Vocabulary page in nVoq.Administrator. 
    • Optionally, click the Manage icon in the sidebar to hide the sidebar while you work.

  2. Select the appropriate radio button to find the account or organization from which you want to copy vocabulary: 
    1. Copy from a user account

      1. Select the Account radio button.
      2. Then select an account from the Account menu. 
      3. The menu will display a maximum of 250 accounts. If there are more than 250 accounts in the selected organization, the bottom of the menu will say, "Showing 250 out of [#] possible accounts."
      4. Use the Find Account field at the top of the menu to find any account that exists in the selected organization, even if it is not displayed in the menu.

      5. Hover your mouse over the account in the list to see the username in a tooltip if it's cut off on the menu.

    2. Copy from an organization

      1. Select the appropriate organization from the organization menu at the very top of the screen.
        Navigate this menu by using the Expand All button to open all organizations, by clicking the > arrow next to each organization level to open it, or by typing an organization name in the Filter text field.
      2. Select the Organization radio button.
      3. Select the appropriate Show Organization radio button to view existing vocabulary for the selected organization:
        • Choose selected and parents to see vocabulary for the organization selected in the Organization menu and all parent organizations above it.
        • Choose only selected to see vocabulary for only the organization selected in the Organization menu.
        • Choose selected and children to see vocabulary for the organization selected in the Organization menu and all child organizations below it.

  3. You can copy one term at a time or select multiple terms to copy.
    1. Copy a Single Term

      1. Click the Actions menu next to the term and select Copy Vocabulary.

    2. Copy Multiple Terms

      1. Click on the book icon to the left of the Written Form to put checkmark in the box next to each term.

      2. Click the copy icon in the blue bar.

  4. On the Copy Vocabulary screen select the radio button for the Location to which you want to copy, either an Account or an Organization.

  5. Select the account or organization to which you want to copy the vocabulary in the drop-down menu below the Location radio button.
    • A vocabulary cannot be copied to an organization or account in which it already exists with the same Written and Sounds Like information. 
    • The drop-down menu presented will change depending on the radio button selected.Vocabulary-copy-to-account
      • If you select the Account radio button, the menu will include all accounts included in the organization levels to which you have access based on the Admin Level of your account.
        • Enter all or part of a user's first or last name or username into the Find Account field at the top of the menu to quickly find a user in the list.
        • The Account menu includes administrator accounts that do not have client access. If vocabulary is copied to those accounts, it is only added to the database. No profiles are created until client access is added to the account.
      • If you select the Organization radio button, the menu will include all organization levels to which you have access based on the Admin Level of your account. For example, a division level administrator will see an organization menu that includes the division and all groups below that division in the menu. A group level administrator will only see their own group in this menu. 
        • Use the Filter at the top of the menu to find a specific organization.

  6. Click the Copy button at the bottom of the screen to copy the terms and go back to the vocabulary list view.Vocabulary-copy-button
    • Copying vocabulary creates a new history for each term with all previous history removed.
    • When vocabulary is added, account profiles are rebuilt. As soon as the profile job is completed, the next dictation submitted can use them. Wait a few minutes before testing them in dictations to make sure they work.
    • If after a few minutes your term is not recognized try adding a pronunciation (Sounds Like). See Edit Vocabulary.
    • Vocabulary terms are updated in user accounts asynchronously, which means that after modifying terms in nVoq Administrator, affected user profiles are updated in the background. Dictation client users can still perform dictations while vocabulary is being updated on the server.
    • If any of the vocabulary terms already exist in the target location to which you are copying, NONE of the terms will be copied to the target location. 
      • A red message will appear for a few seconds letting you know that there was a problem. For more information about why the terms could not be added click on the notification icon (bell).Vocabulary-copy-none-were-saved-already-exists
